Who we’re looking for:

C.A.R. is hiring for a full-time Sales and Marketing Coordinator position. In this role, you’ll serve on a dedicated and supportive team where you’ll assist in the preparation of logistics, project management, and organization surrounding our large annual trade show. This is an exciting opportunity for candidates who thrive in collaborative roles and possess excellent organizational and communication skills. We’re seeking someone with a strong attention to detail who’s highly responsive, customer service-oriented, and interested in playing an integral role in helping to execute the annual event we host as a well-established voice in the real estate industry.

What you’ll do:

EXPO:

  • Assist in the organization, logistics, and project management of annual trade show.
  • Manage after-sale follow-up for exhibitors.
  • Maintain an exhibitor database and manage all Expo-related contracts.
  • Coordinate marketing materials for prospective attendees.
  • Generate invoices for sponsors and exhibitors as needed.
  • Follow up on outstanding contracts and invoices.
  • Maintain a calendar for EXPO Activity and deadlines.
  • Handle telephone calls to the EXPO area and entire department.  Answer routine inquiries and detailed information requests from prospective exhibitors, media and members.
  • Coordinate overall production for sponsorship deliverables.
  • Solicit RFPs from various trade show vendors as required. Review and recommend vendors to service annual event.       
  • Coordinate and organize the Exhibitor Service Manual. 
  • Work directly with the trade show Contractor and mailing house.
  • Prepare and handle exhibitor credentials.
  • Manage the exhibitor registration desk onsite.
  • Update all exhibitor and sponsor-related items on the event website.

Advertising Tasks:

  • Work with a production assistant on collecting and uploading digital ads as needed.
  • Run reports and insert metrics into Excel sheet.

Registration Tasks:

  • Manage the online registration process.
  • Manage ticket and badge requests including staff, speaker and guest lists.
  • Handle attendee registration, working directly with the contracted registration company.
  • Coordinate a post-event survey coordination and summary.

Manage Invoice Process:

  • Maintain payment logs.
  • Work with the Accounting team to process contracts.

Basic Qualifications:

  • High School diploma or the equivalent.
  • 3+ years of administrative assistant experience and/or large-scale trade show planning experience.
  • Advanced level in Microsoft Excel, including pivot tables.

Preferred Qualifications:

  • Bachelor's degree.
  • Previous experience with ACT contact management software or a similar application
  • Photoshop and InDesign experience.
  • Billing, invoicing, and P&L experience.
  • Previous experience with ACT contact management software or a similar application.

Overnight Travel:

  • One week per year for the Annual Expo
  • Possibly one additional week per year for the NAR (National Association of Realtors) Expo
